Scheduling

Updated May 17, 2024
In this tutorial, we dive into how scheduling is managed for both managers and employees. In the "create and set up store" video, we've already prepared our store for scheduling by adding roles and inviting employees. Now, it's time to schedule our first shift.

Keep in mind, you'll need scheduling permission to access this feature. To assign a shift, simply click on the calendar for the desired day and employee. If you're unsure who to assign, you can assign the position to Open shifts. Let's kick things off by creating an open shift.

Creating an open shift

You have the option to craft a custom shift or use a shift template from the ones available in this sidebar. Since we don’t have any shift templates ready yet, I’ll be creating a custom shift.

Creating a custom shift

For each shift, you'll need to specify a title, start time, end time, and role. When you select a date on the calendar, the employee and date are automatically filled in for you. There's also an option to save this shift as a template for future use by ticking the "Save as shift template" box. You can choose to either "Create" the shift for later adjustments or "Create & Publish" it right away to make it immediately visible to your employee. For now, we'll just create a draft shift to be published later.

Shift details

To inform your employees about their schedules, you'll need to publish the shift. Publishing an open shift alerts all suitable employees with the matching role, giving them the chance to claim it.

Publishing an open shift

However, before publishing, I'll assign this open shift to an employee. Simply drag the shift to view all available employees, then drop it onto your chosen employee. It's that straightforward.

Assigning shift to employee

Employee shift assignment

Next, we're going to assign a new shift to another employee, say Jenny, but this time using a different approach - a shift template, which I'll delve into more in our Templates tutorial. Don't miss out on that.

Alright, it's time to wrap things up. Hit the Publish button at the top, changing the status of the shifts to Published, and your employees will be notified accordingly.

Jenny’s view:

From Jenny's perspective, once she receives notification of her new shift, she has the option to confirm or decline it.

Jenny confirming shift

Jenny decides to confirm her shift, and from the manager's viewpoint, the shift is then marked with a confirmed status.

For certain shifts, a confirmation may not be required. If you set up the role without the "decline" permission, the shift will automatically be confirmed. In that case, employees get notification of assigned shifts, but there is no further action to take.
