Manager view:
Take the case of Edward Geller in my store, who juggles two roles: Barista and Chef. As a Barista, Edward can decline and swap shifts, but his Chef duties don't allow for these flexibilities.
I plan to schedule two shifts for Edward, each corresponding to his distinct roles.
As observed, Edward's Sunday shift, in his capacity as a Chef, is automatically confirmed. However, his Monday shift as a Barista awaits his decision to confirm or decline.
Edward’s view:
From Edward’s view, he gets a notification about his new shifts.
Initially, Edward confirms his shift for Monday but later opts to withdraw from both shifts.
He proceeds to his calendar to make these changes. Due to the limitations of the Chef role, Edward cannot swap his Sunday shift, as mentioned earlier. On the other hand, the Barista role allows for shift swapping, enabling him to request a swap for his Monday shift with another colleague who has the Barista role.
It's important to note that you're expected to fulfill your shift until someone else accepts to cover for you.
Manager view:
Jeny’s view:
Let’s say Jenny has the Barista role and she is willing to take Edward’s Barista shift on Monday. From Jenny’s viewpoint, as soon as she gets a notification about an available shift that suits her role, she has the choice to take it. Jenny chooses to go for it.
Edward’s view:
To be excused from his Chef’s role shift, Edward's sole option is to request time off. This shift will be removed from his calendar once his manager approves the request. To apply for time off, navigate to the Time off tab on the Availability page.
Thus, Edward plans to take the upcoming Sunday off.
Manager view:
Upon receiving Edward's time-off request, as his manager, I was notified and given the choice to either approve or deny it.
I chose to approve it; later I have to find someone else to fill this shift, currently moving to the open positions.
Perfect, everything went as expected. Edward secured his Sunday off, which effectively transferred his shift to the open shift category. Moreover, his Monday shift has been swapped with Jenny since she agreed to take it.
Edward’s view:
Reviewing Edward's calendar after the changes shows that his Sunday and Monday shifts have been removed, aligning perfectly with his request for the time off.
