Registration
Begin by visiting Clockto.com and clicking on either “Join for free” or “Sign up” to be directed to the “Onboarding page”. If you're setting up as a business owner, select the “Business owner” option and hit “Get started”.
Your first step is to enter your email address and click “Next”.
Then, choose a secure password and type it in twice for confirmation.
You're now registered! Please enter your full name to move forward.
At this stage, you have the choice to upload a personal photo or pick an avatar. Feel free to skip this step and add it later in the app.
Now, it's time to build your store. Select your business type from our list or, if it's not there, choose “Other”.
Now, name your business.
Upload your business logo or choose from our selection of icons. Remember, you can always update this later in the “business info” page.
After completing these steps, review the summary of your information. Click “Next” to proceed with verifying your account.
You're nearly through with the onboarding process! Just check your email to verify your account. Once confirmed, you'll be all set to explore your dashboard.
Business info
Before anything else, I'll take a peek at my store and explore the settings on the “Business info” page.
This section lets you tweak your business name, type, and photo.
Plus, you can put in your address and set the time zone to align with your location.
You'll also find the operating days and hours of your business here. Feel free to modify these as needed. For example, I'm going to adjust mine since we're closed on Sundays, so I'll just select Saturday and update the schedule.
Additionally, there are options for managing shift settings and roles, but we'll cover those in the Team section. For now, let's head over to the Team page and focus on the "Role" tab.
Add role
Roles represent different types of jobs, outlining what each employee is responsible for. They also shape the choices employees have regarding their shifts, like the ability to swap or decline them. For instance, a cashier might swap shifts with a fellow cashier, as long as their role allows it. But swapping shifts between a cashier and a manager isn't possible. Additionally, roles are useful for assigning varying hourly pay rates to different positions. In Clockto, an employee can have multiple roles. For instance, one employee can be both a cashier and a manager. Similarly, you can assign the same role to many employees.
To create a new role, click on the Add Role button. You will be prompted to enter the role name, select a color, and choose the permission for the role. After entering the required information, click on the Add button.
Once this is done, the new role will appear in the role list. You can then assign it to any employee.
Note, you can edit existing roles by clicking on their cards. I wanna change the color of the Barista role to green and then apply the changes.
Invite Employee
We now have 2 roles ready. Let’s switch to the first tab and invite some new employees to join us.
To invite your employees, click on the Add employee button and fill in the form. You have to provide the employee’s email address, give them their roles, and set hourly rates for every role. Each employee can have more than one role. Employees can be granted various permissions. The first is "Available Time," which allows employees to adjust their availability as needed. If you prefer not to enable this, don't select it. Without this permission, managers will need to input availability for their team members. The second permission is "Scheduling." With this, employees can organize shifts and manage related tasks for your business. Finally, there's "Managing Employees." This permission empowers employees to invite new team members, arrange availabilities, and address requests like time off and other matters.
I'm going to grant all the permissions to my employee and finish up sending out their invite. In case your employee didn't receive the invitation for some reason, you can easily resend it by pressing that orange button on the card.
You also have the option to edit an employee's details and permissions by clicking on their profile card. As the manager, you can view the availability and time-off schedules of your employees on this page. If an employee doesn't have the "Available Time" permission, you can adjust their available times yourself by going to the second tab and clicking on the "Available Time" card. There's also the option to create new available times here.
Now, let me walk you through assigning multiple roles to an employee. Simply click on the "Assign New Role" button, fill in the necessary details, and update. And just like that, the roles are updated.
New Store
your store is all set! But here's an exciting feature: Clockto lets you manage multiple business locations. Yes, you can be associated with more than one store. Let's take a look at how this works. On the left side of your screen, you'll find a list of stores you're involved with. Click the small arrow button to see the full list. Right now, we have just one, but adding more is simple. You can either create a new store or join an existing one by clicking on the 'new store' button.
This will guide you through the same onboarding process we covered earlier.
Check this out! I've just added a new store called Butterfly Cafe! You can view both of my stores by expanding the list. Switching between them is super easy and seamless
